The name of the society shall be the Rotherham & District Model Engineers Society. The object of the Society isa) To promote inter-activity with the community, in particular on an educational basis with local play groups and schools.b) To encourage all branches of Model Engineering and to promote the club aspect of the hobby.c) To draw up and recommend standards of practice, to foster and facilitate interchange of ideas and experience.d) To promote mutual assistance with other Societies without infringing on their autonomy. The society shall be a non profit making organisation and accordingly its assets shall only be used for the furtherance of the society and no part of the assets shall be used for the benefit of any individual person. If the society be wound up any assets remaining shall be applied, as directed by the Committee, in their entirety to an organisation of similar aims and objects in the South Yorkshire area so far as is feasible. Membership is open to any individual wishing to promote Model Engineering interests and activities within the society. Rights of Members – All members of the society have the right to attend functions and activities organised by the society. Executive – The general business of the society shall be conducted by the Committee which shall consist of:- The President, who shall be nominated for a three year period by the Committee for approval by the members at the appropriate Annual General Meeting. The Chairman, who shall be elected for a three year period. The Secretary, who shall be elected for a three year period. The Treasurer, who shall be elected for a three year period. Five Committee Members shall be elected for a staggered three year period. The Quorum shall be 6.Each of the above, except for the Chairman who will have a casting vote only, shall have one vote.The Committee may co-opt sub-committees for specific purposes, as may be necessary.The Chairman shall preside at meetings and shall have the casting vote.The Secretary shall summon all meetings and record the minutes thereof and submit correspondence.The Committee shall meet at least four times per year, and at least 7 days notice of such meetings shall be given by the Secretary.The Treasurer shall keep the books and accounts as decided by the Committee. At the close of the financial year the Treasurer shall submit the accounts and balance sheet for audit and certification. A copy of the balance sheet shall be presented at the Annual General Meeting for adoption at that meeting.Auditors – An Honorary Auditor, not being a member of the Committee may be elected at the Annual General Meeting to audit the society accounts at the end of the ensuing year, in time for a statement of the society’s financial position to be presented at the next Annual General Meeting.The funds of the society shall be lodged at a bank approved by the Committee. All payments to the society shall be made to the Treasurer who shall give official receipts for them.The society Treasurer and one of either the Secretary or the Chairman shall be required to sign cheques of withdrawal on the society account.General Meetings:-(a) The Annual General Meeting shall be held before the 31st January each year.(b) Extraordinary meetings shall be called by the Secretary on request in writing and signed by not less than one third of the membership of the society, except when called by the Committee, and stating clearly the purpose for which the meeting is called, and no other business shall be conducted at that meeting.(c) At General Meetings each eligible society member shall have one vote only.Subscriptions are due on the 1st April each year and are payable in advance. The amount of the subscription shall be determined at the Annual General Meeting. Any member not paying their subscription by the 1st June shall be deemed to have terminated their membership and shall be requested to tend their resignation in writing to comply with company rules.A junior member on reaching the age of 16 will automatically become a full member. The full membership subscription will become payable on the 1st April following the members 16th birthday.Any matter arising which is not covered by these rules shall be referred to the Committee, whose decision shall be final.Revised 1 February 2005 Rotherham & District Model Engineers Society.
